Use a password manager and multi-factor authentication

Reused and weak passwords are still one of the most common ways accounts get compromised. A password manager makes strong, unique passwords practical for every employee, and multi-factor authentication adds a second layer that stops most account takeover attempts even if a password leaks.

Keep software and systems patched

Many breaches exploit known vulnerabilities that already had a patch available. Turning on automatic updates where possible, and having someone responsible for checking the rest, closes off a huge share of common attack paths.

Train your team to spot phishing

Most breaches start with a person, not a technical flaw. A convincing email asking someone to click a link, open an attachment, or wire money is often all it takes. Regular, short training on what to look for is one of the highest-value things a small business can do.

Back up your data, and actually test the backup

Backups only help if they work when you need them. That means backups stored somewhere separate from your main network, and a periodic test restore to confirm the data is actually recoverable, not just a checkbox that says “backup complete.”

Limit access to what people actually need

Not every employee needs administrator access or the ability to reach every shared folder. Limiting access reduces how much damage a single compromised account or careless click can cause.

Have a plan before you need one

Knowing who to call, what to shut down, and how to communicate with customers during an incident makes a real difference in how quickly a business recovers. Figuring this out during an active incident costs time you do not have.
